Buy, lease or hardware as a service: how to pay for business technology
You do not have to pay for a firewall, copier or new network all at once. Buy it outright, lease it with a fixed monthly payment, or choose hardware as a service, where one monthly fee covers the equipment, licenses, monitoring, support and future upgrades. Here is how each option works, in plain English.
The short version
- Buy: pay once and own it. Best when you have the cash and want the lowest total cost over many years.
- Lease: a fixed monthly payment over a set term, usually 36 to 60 months, with options at the end. Keeps cash in the bank.
- Hardware as a service (HaaS): one monthly fee for the equipment plus licenses, monitoring, support and a hardware refresh. You never own aging gear.
- Firewalls, copiers, printers, Wi-Fi, switches and full network build outs can all be handled these ways.
- Whichever you choose, we size it, install it and support it locally.
The three options side by side
| Buy | Lease | Hardware as a service | |
|---|---|---|---|
| Upfront cost | Full price | Little or none | Little or none |
| Monthly cost | None (plus renewals) | Fixed payment | Fixed all in fee |
| Who owns it | You | Leasing company until the end of term | Provider |
| Security licenses and renewals | You renew them | Can be included | Included |
| Monitoring and support | Separate | Separate or bundled | Included |
| Upgrades | You buy new | Upgrade at end of term | Refresh built in |
| Best for | Cash on hand, long life | Protecting cash flow | Predictable cost, no surprises |
What hardware as a service actually means
Think of it like a phone plan for your office equipment. Instead of buying a firewall, paying for its security subscription every year, and paying again for help when something breaks, you pay one monthly fee. That fee covers the device, the licenses that keep it protecting you, the monitoring that watches it, the support when you need it, and replacement when the hardware gets old. If it fails, it is our problem to fix, not yours to buy again.
How leasing works
- Pick the equipment: we recommend the right firewall, copier or network gear and quote the whole project, including installation.
- Choose a term: common terms are 36, 48 or 60 months. Longer terms mean lower payments.
- Quick approval: most small business leases need a short application, not a long loan process.
- End of term: depending on the lease, you can buy the equipment, return it, or upgrade to new equipment.
- Taxes: lease payments and equipment purchases may have tax advantages. Ask your tax professional what applies to you.
What you can lease or get as a service
Which option is right for you?
- Choose buy if you have the budget now and want the lowest cost over 5 or more years.
- Choose lease if you want new equipment now and would rather keep your cash for payroll, inventory or growth.
- Choose hardware as a service if you want one predictable bill and never want to think about renewals, monitoring or replacements.
- Not sure? We will price all three for your project so you can compare real numbers.
Questions people ask
Is hardware as a service more expensive than buying?
Over many years, buying the equipment alone usually costs less. But buying does not include the yearly security licenses, monitoring, support or replacement. Once those are added, a service plan is often close, and the cost is spread evenly with no surprise bills.
Can I lease a firewall or is leasing only for copiers?
Firewalls, switches, Wi-Fi and complete network projects can be leased, not just copiers. Many offices combine everything into one agreement.
What happens if the equipment breaks?
With hardware as a service, repair or replacement is part of the plan. With a lease or purchase, warranty and support depend on the agreement you choose, and we explain that clearly before you sign.
Do I need perfect credit to lease?
Approval depends on the leasing company's review of your business. Many established small businesses, schools and churches qualify with a short application.
Can I upgrade before the term ends?
Often yes. Upgrades can usually be arranged by rolling the remaining balance into a new agreement. We walk through the numbers with you first.
Lease approval, terms and end of term options are set by the leasing company. Tax treatment depends on your situation; consult your tax professional.
