BUSINESS DOCUMENT SCANNERS
Scan it once, find it forever.

Business document scanners: what to buy, what to avoid

A good scanner turns paper into searchable files you can find in seconds. A cheap one skips pages, jams and dies in a year. Here is how to choose, starting with the copier you may already own.

★ Serving local businesses 30+ years✓ We install, set up OCR and service

The short version

  • Legal size (8.5 x 14) fits standard business scanners. You only need a large format (11 x 17) scanner for ledgers, drawings and maps.
  • Our HP E877 and E826 Flow copiers scan up to 11 x 17 at up to 300 images per minute, clear double feeds automatically and create searchable PDFs right at the machine.
  • For a standalone scanner, the Ricoh fi Series (formerly Fujitsu) is our first choice. Same factories, same engineers, new name.
  • Built in OCR makes every scan searchable. Ricoh includes PaperStream Capture free with fi Series scanners.
  • Avoid scanners with no ultrasonic double feed detection and no published daily duty cycle. Missed pages are found when it is too late.

Start with the scanner you may already own

A modern business copier is one of the fastest scanners in the office. The HP E877 color and E826 black and white copiers we install scan originals up to 11 x 17 on the glass and through the feeder, with single pass two sided scanning. They come in two versions:

  • Standard (E877dn, E826dn): 200 sheet feeder, 90 pages (180 images) per minute.
  • Flow (E877z, E826z): 300 sheet feeder, 150 pages (300 images) per minute, built in OCR for searchable PDF and Word ready files, and reverse and retry: when two pages feed together, the copier backs them up and refeeds them automatically instead of stopping the job.

For an office that scans every day, a Flow copier plus scan to email and scan to folder covers most needs. See our HP enterprise copiers and the full list of Flow scanning features.

When a standalone scanner makes sense

  • A front desk or intake station that scans all day while the copier stays free for printing
  • Scanning straight into one program, such as a medical records, legal or document management system
  • Large backfile projects: boxes of old files that need to be scanned once
  • A second office, a private desk, or a department that needs its own scanner

The brands we trust

Ricoh fi Series (formerly Fujitsu). For years the Fujitsu fi Series was the scanner we installed, and those machines ran tens of thousands of pages a year for a decade. The scanners were always made by PFU, a Japanese company. Ricoh became majority owner of PFU in September 2022 (Fujitsu kept a 20 percent share), and the scanners carry the Ricoh name from 2023. Same factories, same people, same standards. Only the logo changed.

Epson business scanners (the DS series) are our pick for large format 11 x 17 work. Canon imageFORMULA and Brother ADS models are solid choices for lighter office use.

The fi-8170 also connects by network cable, so it can be shared, and it scans long documents up to 240 inches. The Epson DS-32000 carries a 3 year limited warranty. Ask us for current pricing and availability.

Built in OCR is the real payoff

OCR (optical character recognition) reads the words on the page and saves them inside the file. A searchable PDF lets you find any invoice, contract or chart by typing a name or number instead of opening files one at a time. Ricoh includes PaperStream Capture free with fi Series scanners. It creates searchable PDF and PDF/A (the long term archive format), Word and Excel files, separates batches by blank page or barcode, and can name files automatically from a zone on the page. Epson includes Document Capture Pro with OCR.

What to look for

  • Ultrasonic double feed detection: the scanner stops when two pages go through together, so no page is silently skipped
  • A published daily duty cycle that fits your volume
  • The right page size: legal for most offices, 11 x 17 only if you need it
  • Two sided (duplex) scanning in a single pass
  • Network connection if more than one person will use it
  • TWAIN and ISIS drivers so it works with your business software
  • Replaceable rollers and an available maintenance kit
  • Searchable PDF and PDF/A output

Cheap options to avoid

  • Portable and wand scanners for daily office work. Fine for travel, too slow and fragile for batches.
  • Home photo flatbeds. Great for pictures, painful for a stack of 50 pages.
  • Any scanner with no published daily duty cycle. It was not designed for business volume.
  • Feeders without ultrasonic double feed detection. When two pages stick together, one page is never scanned, and nobody knows until the record is needed.
  • No name brands without long term driver support. A scanner that stops working after the next Windows update is no bargain.

One note: Ricoh fi Series scanners do not run on ARM based Windows PCs. If your computers use ARM processors, ask us before you buy.

Keep it running for a decade

Rollers wear with every page. Ricoh's ScanAid kit for the fi-8170 is meant to be replaced every 200,000 sheets or once a year. Clean the glass and rollers regularly, run documents without staples, and a business scanner will run for many years. We install, set up scan profiles and OCR, and service what we sell.
